WHAT TO INCLUDE

What goes on the template

Item number

A unique ID for every deficiency so it can be assigned and tracked to closure.

Location / room

Exactly where the item is — vague locations are the #1 reason punch items get missed.

Description

A specific description of the deficiency and what "done" looks like.

Trade responsible

Who owns the fix, so items route to the right sub automatically.

Priority

Severity, so life-safety and blocking items get done first.

Photo

A photo removes all ambiguity about the item and the fix.

Status & dates

Open / in progress / done, with date identified and date closed.

Sign-off

Who verified the fix — the field that actually closes the job.

HOW TO USE IT

Fill it out right

  1. 1

Walk the site room by room so nothing is skipped.

  2. 2

Write specific, photographable descriptions — not "touch up paint," but "scuff, north wall by door."

  3. 3

Assign each item to the responsible trade immediately.

  4. 4

Track every item to a verified, signed-off closure — not just "sub says done."

  5. 5

Re-walk to confirm before you call the list complete.

AVOID THESE

Common mistakes

  • Descriptions too vague to act on or verify.
  • No photos, so the sub and the super argue about what the item was.
  • No trade assignment, so items sit unowned.
  • Marking items done without a verification/sign-off step.

Pin punch items to the exact spot on the drawing

MyBuildTracks lets you drop a photo punch item onto the drawing where the issue is, assign the trade, and track it to signed-off closure — no lost items, no arguments. Free for your first two projects.

TEMPLATE FAQ

Questions, answered

What to include, how to use it, and the mistakes to avoid.

A punch list is the list of remaining deficiencies and unfinished items found near the end of a project that must be corrected before final completion and payment.

Each item needs a unique number, a specific location, a clear description, the responsible trade, a priority, ideally a photo, and a status through to verified sign-off. The template covers all of these.

Typically the general contractor, architect and/or owner during a walkthrough. Subs then correct their assigned items, and the items are verified before closeout.

When every item has been corrected and verified with a sign-off — not just when a sub reports it done. That verification step is what protects final payment and warranty.
