WHAT TO INCLUDE

What goes on the template

Date & weather

Conditions, temperature and any weather that affected work — the first thing a delay claim gets checked against.

Crew & headcount

Trades on site and how many of each, so labor is traceable day by day.

Work completed

What actually got done, by area — specific enough to reconstruct progress later.

Equipment & deliveries

Equipment on site and materials delivered or awaited.

Delays & disruptions

Anything that slowed or stopped work, with the cause — the field that protects your schedule.

Safety & incidents

Toolbox talks, near-misses and any incident, logged the day it happened.

Visitors & inspections

Owners, inspectors and AHJ visits, with outcomes.

Photos

A few dated photos turn a report into proof.

HOW TO USE IT

Fill it out right

  1. 1

Fill it out the same day — reports written from memory a week later lose their evidentiary value.

  2. 2

Be specific: "poured 40 CY at grid B-D" beats "concrete work."

  3. 3

Always record weather and any delay with its cause, even on good days.

  4. 4

Attach a few photos of progress and any issue.

  5. 5

Have one person own it per site so the format stays consistent.

AVOID THESE

Common mistakes

  • Vague entries ("worked on site") that prove nothing months later.
  • Skipping weather and delay fields — exactly what claims hinge on.
  • Backfilling several days at once from memory.
  • No photos, so there’s no visual record of progress or damage.

Skip the spreadsheet — file daily reports in a couple of taps

MyBuildTracks turns the daily report into a fast mobile form: weather, crew, work, delays and photos, filed from the field and instantly visible to the office and owner. Free for your first two projects.

TEMPLATE FAQ

Questions, answered

What to include, how to use it, and the mistakes to avoid.

At minimum: date and weather, crew and headcount, work completed, equipment and deliveries, delays with their cause, safety notes, visitors/inspections and a few photos. The template covers all of these.

Usually the site superintendent or foreman, or a project engineer. The key is that one person owns it per site so the format and detail stay consistent day to day.

They’re the contemporaneous record of what happened on site — the first thing referenced in delay claims, disputes and payment questions. Consistent daily reports are some of the cheapest risk protection on a job.

A digital report is faster to fill, impossible to lose, timestamped, searchable and instantly shareable with the office and owner. In MyBuildTracks you file one in a couple of taps from the field, photos attached.
